Policies & documents

The playbook opens on the ticket — not in a shared drive nobody finds.

Company Policies is FixGrid’s SOP hub: field-ready, searchable, browsable by topic or by the work. The Documents library holds the property file room — certificates, inspection reports, contracts — on the same system of record.

On the work

Shown because of this ticket — not because someone remembered the drive path.

Policies link to ticket categories and work types. Open a plumbing leak and the relevant SOPs ride along. Same pattern on PM tasks and make-ready — the playbook meets the field where the work already lives.

  • Browse by topic — emergency, safety, maintenance ops, make-ready, PM, compliance, and more.
  • Browse by the work — HVAC, plumbing, life safety… the same categories techs already pick.
  • Surfaces on tickets, PM, turns — policy cards in context, not only a sidebar hub.
  • Technicians can read — view access is for the people holding the wrench.

Read it. Acknowledge it. Stay on brand.

Policies open in a dedicated viewer — PDF fit-to-width and pinch-zoom for the field, download when you need the raw file. Optional acknowledgement records that the tech has read the procedure.

  • PDF & image documents — the SOP is the file teams already have.
  • “I have read this” — timestamped acknowledgement when the policy requires it.
  • Review dates & most accessed — managers see what’s overdue and what’s used.

Documents library

The file room that isn’t a shared drive graveyard.

Documents holds inspection reports, contracts, compliance certificates, and company files — filterable by type, property, and status. Upload, archive, search by title or party. Separate from the SOP playbook, same FixGrid login.

  • Property-scoped — find the cert for Riverside without drowning in portfolio noise.
  • Types that match the work — inspections, compliance, contracts, and more.
  • Active / archived — keep history without cluttering today’s list.

FAQ

Straight answers on policies & documents

What is Company Policies in FixGrid?
The SOP and field-playbook hub. Upload policies, organize by type and ticket category, open them from the hub or from tickets, PM, and make-ready. Public label is Company Policies; the work is your living SOP set.
Can technicians open policies on the job?
Yes. Techs can view. Linked policies surface for the ticket’s category, and the in-app viewer is built for phone reading — PDF fit-to-width and pinch-zoom.
Does FixGrid track acknowledgement?
Yes. Policies can require an “I have read this” acknowledgement with timestamp — useful for safety procedures and training discipline.
How is Documents different from Policies?
Documents is the property-scoped file room (reports, certificates, contracts, company files). Policies is the SOP playbook tied to how work is categorized. Both ship on Professional+.
Which plan includes this?
Professional and Enterprise. See the pricing matrix — Company policies / SOPs + Documents is a Pro/Ent row, not Starter.
