FixGrid vs MaintainX — an honest comparison for 2026

The short version

MaintainX is one of the best industrial CMMS platforms on the market — built for manufacturing, facilities, and fleet teams, deep on procedures and integrations, billed per user. FixGrid is residential-native for multifamily — apartments, residents, leases, and unit turns — billed per unit with unlimited seats. This isn’t mainly a price fight (MaintainX’s free and entry tiers can undercut FixGrid on raw seats). It’s a fit fight: if your assets are production lines, pick MaintainX. If your assets are apartments, residents, and turns, FixGrid is built for exactly that.

Disclosure: I’m George Herlth, the founder of FixGrid. I spent twenty years doing multifamily maintenance before building FixGrid. MaintainX is a genuinely excellent product — for industrial maintenance. I’m not going to pretend it’s a bad tool; it isn’t. This comparison is about which kind of building each platform is built for, and it will tell you plainly when MaintainX is the right answer. Pick by fit, not by who wrote the article.

Quick comparison overview

FixGrid and MaintainX both call themselves a CMMS, but they sit in different worlds. MaintainX is a general-purpose industrial CMMS — it serves manufacturing plants, food and beverage, automotive, distribution centers, fleets, and facilities across dozens of industries. FixGrid is a residential-native CMMS — it does one thing: maintenance for multifamily apartment operators. The overlap is real (work orders, preventive maintenance, parts inventory, assets), but the assumptions underneath are completely different. MaintainX assumes equipment and crews. FixGrid assumes units, residents, leases, and turns.

The pricing math at common operator sizes

The headline difference is the billing model: MaintainX charges per user; FixGrid charges per unit. That makes the comparison depend on how many maintenance users you have, not just how many doors. The table below assumes a maintenance team that scales with the portfolio (roughly one full user per 50 units — technicians plus a supervisor) and MaintainX’s Premium tier ($49/user/mo billed annually), which is the tier that matches the advanced PM scheduling, reporting, and automation FixGrid includes in its base price:

Portfolio sizeFixGrid — Starter / ProfessionalMaintainX Premium (per user)Difference
50 units (2 users)Starter $49.00 · Pro $99.00/mo2 × $49 = $98/moEven — Starter half, Pro ~$1 above
100 units (3 users)Starter $111.50 · Pro $199.00/mo3 × $49 = $147/moStarter undercuts; Pro ~1.4× above
250 units (6 users)Starter $299.00 · Pro $499.00/mo6 × $49 = $294/moEven at Starter; Pro ~1.7× above
500 units (10 users)Starter $611.50 · Pro $999.00/mo10 × $49 = $490/moMaintainX lower — Starter ~1.2×, Pro ~2×

Now the honest part. MaintainX also has a free Basic tier and an Essential tier (~$16/user/mo annual). At Essential, a 100-unit operator with three users pays roughly $48/month — less than FixGrid’s $111.50. So on raw seat cost, MaintainX’s entry tiers can undercut FixGrid, and for a tiny team the free plan costs nothing. I’m not going to hide that.

The catch is twofold. First, Essential is missing the advanced PM scheduling, reporting, and workflow automation that FixGrid bundles into Professional — so the apples-to-apples tier is MaintainX Premium vs FixGrid Professional. On that basis the two run roughly even at 50 units (Professional $99/mo vs $98/mo), and as the portfolio grows MaintainX Premium tends to come in lower on raw cost — the trade-off is that you’re comparing per-seat math against per-door math. FixGrid’s Starter tier undercuts MaintainX Premium through about 250 units; above that, MaintainX Premium is the cheaper line item. So price alone is competitive, not a blowout in either direction. Second, and more important: no MaintainX tier includes a single residential feature. No units. No leases. No make-ready turns. No resident portal. You’d be buying a well-built industrial tool and then doing all the residential work somewhere else. The price question only matters after the fit question, and on fit, an apartment operator and a factory need different software.

Where MaintainX wins

MaintainX is a category leader for a reason. If your maintenance lives outside residential, these are real, decisive advantages FixGrid does not try to match.

Industrial breadth. MaintainX is purpose-built for manufacturing, food & beverage, automotive, distribution, fleet, oil & gas, and facilities. If you maintain production equipment, vehicles, or a mixed-industry asset base, it’s designed for exactly that — and FixGrid simply isn’t. This is the single biggest reason to choose MaintainX.
Deep digital procedures & SOPs. MaintainX has invested years in structured, conditional digital procedures for frontline industrial work — the kind of standardized, audited step-by-step processes a plant floor or regulated facility needs. FixGrid’s checklists are solid for residential work but don’t go as deep on industrial procedure logic.
Integration & enterprise infrastructure. Mature API, SSO/SAML, and integrations into ERP systems, IoT sensors, and condition-monitoring stacks. For large industrial operations that need maintenance data flowing into enterprise systems, MaintainX’s integration surface is far broader than FixGrid’s today.
Free tier and a large install base. A genuine free plan lets small teams start at zero cost, and MaintainX has a very large, proven user base across industries. That maturity — reliability, support depth, community — is a real advantage over a younger, founder-led product.
Built-in messaging and industrial AI. Real-time team and work-order chat threads keep frontline crews coordinated, and MaintainX has invested heavily in AI features tuned for industrial maintenance insights. For a distributed industrial workforce, that in-app communication layer is genuinely useful.

Where FixGrid wins

FixGrid is younger and narrower — on purpose. It does one thing an industrial CMMS structurally can’t: it understands apartments.

Residential-native, end to end. Units, leases, residents, and the rhythms of multifamily are first-class concepts, not workarounds. An industrial CMMS makes you map an “apartment” onto an “asset” and a “resident” onto nothing at all. FixGrid was built by a 20-year multifamily maintenance professional who never had to make that translation.
Make-ready & unit turns. A complete module for the single most expensive recurring multifamily workflow — notice-to-vacate through move-out, turn, QA, and move-in, on a turn board with aging alerts. MaintainX has no concept of a unit turn because factories don’t have them. See the make-ready deep-dive.
A resident portal. Residents submit requests and watch them live — assigned tech, on-site status, photos, completion — which is what protects renewals and reviews. MaintainX is an internal-team tool with no tenant-facing maintenance experience. See the resident portal deep-dive.
Residential building compliance (Grid Apogee). Purpose-built log types for NFPA 25 fire pumps, EPA 608 refrigerant, ASME elevators, backflow preventers, and generators — framed for multifamily operators, lenders, and insurers, with AHJ-ready exports. MaintainX handles general industrial procedures well, but not residential regulated-systems compliance as a product category.
Per-unit pricing with unlimited seats. Add as many technicians, supervisors, and managers as you want for $0 more — you’re billed on doors, not seats. MaintainX’s per-user model means every technician you add increases the bill, and the features a residential operator needs sit on the higher-priced tiers.
Inventory built for a portfolio of buildings. FixGrid’s parts module tracks stock per property with reorder points, purchase orders, transfers between buildings, and costing tied to the work order — the residential-portfolio shape of the problem, not a single plant’s storeroom. See the parts & inventory deep-dive.

What about enterprise operators?

At enterprise scale the two rarely compete, because they serve different asset types — but here’s the honest framing for large operators.

MaintainX at enterprise: mature enterprise motion — SSO, advanced permissions, API, dedicated support, and large multi-site industrial deployments proven over years. If a large organization maintains a mix of facilities, equipment, and fleet alongside (or instead of) residential, MaintainX’s enterprise infrastructure is the stronger institutional choice.

FixGrid at enterprise: custom-proposal basis for multifamily portfolios above the public 2,500-unit ceiling, founder-direct rather than an enterprise sales team, with operational commitments matched to scale (written SLAs, SOC 2 readiness, dedicated success management, integration capacity for your PMS and accounting stack). Same residential-native software as the SMB tier. If you’re running 2,500+ residential units, talk to the founder directly.

Decision framework: which platform fits you?

Pick MaintainX if: you maintain industrial or commercial assets — manufacturing, food & beverage, fleet, distribution, plants, or facilities — or a mixed-industry portfolio; you need deep digital procedures, broad integrations (ERP/IoT/SSO), or a free tier to start; or your maintenance simply isn’t residential. This is the right call for most non-multifamily operators.
Pick FixGrid if: you run residential multifamily — apartments, residents, leases, and unit turns; you want make-ready tracking and a resident portal; you need residential building compliance (NFPA 25 / EPA 608 / ASME / backflow); you want per-unit pricing with unlimited seats instead of paying per technician; or you want software built by someone who actually did multifamily maintenance for two decades.
Pick neither (and look elsewhere) if: you need full property management software (accounting, leasing, payments) in one platform — both FixGrid and MaintainX are maintenance-focused, not all-in-one PMS. Coming to FixGrid from an industrial CMMS

Most multifamily operators don’t “migrate from MaintainX” in the usual sense — they tried an industrial CMMS (MaintainX, UpKeep, or similar) for an apartment portfolio, hit the residential-fit wall, and went looking for something built for units and residents. If that’s you, the switch is straightforward:

  1. Export what you have. Work orders, assets, parts, vendors — whatever your current tool will give you, in any format (CSV, Excel, even screenshots).
  2. Send it to FixGrid during founder onboarding. The migration service is included at no charge; no specific format is required.
  3. FixGrid maps it into a residential structure. Properties, units, asset registry, vendor contacts, work-order history — restructured around buildings and units instead of a generic asset list. Typically 3–7 business days.
  4. Founder walkthrough, then cut over. One call to confirm the migration and set up your team, then run in parallel briefly and switch. Monthly billing means no annual-contract overlap to absorb.

Frequently asked questions

Is FixGrid a MaintainX alternative?

For residential multifamily specifically, yes. MaintainX is a general-purpose industrial CMMS built for manufacturing, facilities, and fleet maintenance across many industries. FixGrid is residential-native — built only for multifamily apartments, residents, and unit turns. If you’re a multifamily operator who looked at MaintainX and felt like you were bending an industrial tool to fit apartments, FixGrid is the residential-native alternative. If you maintain production equipment or a mixed-industry asset base, MaintainX is the better fit and FixGrid is not an alternative for you.

What’s the real difference between MaintainX and FixGrid?

Two things: who they’re built for, and how they bill. MaintainX is built for industrial frontline teams and bills per user/seat (Free, Essential ~$16/user/mo, Premium ~$49/user/mo, Enterprise custom). FixGrid is built for residential multifamily — units, leases, residents, make-ready turns — and bills per unit ($49 base + $1.25/unit over 50) with unlimited seats. MaintainX has no concept of a resident or a unit turn; FixGrid isn’t built for a factory floor.

Is MaintainX cheaper than FixGrid?

It can be, on raw seat cost. MaintainX has a free Basic tier and an Essential tier (~$16/user/mo annual), so a small team on a low tier can pay less per month than FixGrid. But two honest caveats: the per-user model climbs as you add technicians and need the Premium tier (~$49/user/mo) for advanced PM scheduling, reporting, and automation that FixGrid includes in Professional; and no MaintainX tier includes a single residential feature — no units, no leases, no make-ready, no resident portal. On a feature-comparable basis (MaintainX Premium vs FixGrid Professional), the two run roughly even at 50 units, and MaintainX Premium tends to come in lower on raw cost as the portfolio grows; FixGrid’s Starter tier undercuts MaintainX Premium through about 250 units. Price alone is competitive in both directions — but the deciding factor is residential fit, which no MaintainX tier offers.

Can MaintainX do make-ready turns and a resident portal?

No. Make-ready (unit turns from notice-to-vacate through move-in) and a resident-facing maintenance portal are residential concepts that an industrial CMMS like MaintainX doesn’t model. MaintainX is built around internal maintenance teams and assets, not tenants and leases. FixGrid includes a full make-ready module and a resident portal with live technician transparency, because those are core to multifamily operations.

Does FixGrid track parts and inventory like MaintainX does?

Yes. Parts and inventory is one of the few areas where FixGrid and MaintainX overlap closely. FixGrid offers a full parts catalog with per-property stock levels, reorder points, purchase orders and receiving, transfers between properties, cycle counts, weighted-average costing, and consumption tied to the work order — residential-native inventory depth comparable to what industrial CMMS tools are known for. MaintainX has mature, strong inventory as well; the difference is residential fit around it, not the inventory itself. See the parts & inventory deep-dive.

Which is better for compliance and inspections?

It depends on the compliance type. MaintainX is strong on general industrial procedures, safety SOPs, and audit documentation across industries. FixGrid is built for residential building compliance specifically — NFPA 25 fire pumps, EPA 608 refrigerant, ASME elevators, backflow preventers, generators — via Grid Apogee, with cadence enforcement and AHJ-ready exports framed for multifamily operators, lenders, and insurers. For an apartment portfolio’s regulated systems, FixGrid’s residential compliance framing is purpose-built; for plant-floor safety procedures, MaintainX’s is.

Which one should I pick?

Decide by asset type, not feature lists. If you maintain industrial or commercial assets — production lines, fleet vehicles, plants, facilities, or a mixed-industry portfolio — MaintainX is purpose-built and FixGrid is not for you. If you run residential multifamily — apartments, residents, leases, and unit turns — FixGrid is built for exactly that, bills per unit with unlimited seats, and was created by a 20-year multifamily maintenance professional. The tools rarely compete head-to-head because they serve different kinds of buildings.

Bottom line

MaintainX is the right answer for industrial and facilities maintenance — it’s mature, broad, deep on procedures and integrations, and proven across industries. FixGrid is the right answer for residential multifamily — it’s built around units, residents, and turns, bills per unit instead of per seat, and was made by someone who did the job for twenty years. The honest truth is they barely compete: pick by the kind of building you actually maintain.
